Clan Recording Policy

​

For the purposes of training, incident investigation, and coaching sessions, recordings of clan activities and interactions within TeamSpeak, discord, or any other communication platform will be taken by members of the admin team, officers, and regular clan mates. The following standards and rules must be adhered to for anyone who chooses to record.

  • The recordings are not to be made public to anyone besides the members of the admin team;

​

  • The recordings are not to be edited in any way that would change the meaning of what was said, or so that others may interpret it differently than they would if viewed in its original form;

​

  • The recordings will only be used by the admin team to perform investigations for training or coaching purposes and/or for recognizing individual and team achievements;

​

  • The recordings will be archived in a secure location and must be kept for at least 6 months if they are related to an incident. If the recordings were not related or pertinent to an incident, then they must be kept for at least one week in the admin team’s secure folder;

 

It will be made public and published in the clan news feed that these policy changes are effective February 18, 2022. 

 

Players must accept these policies in order to use our communication platforms and participate in clan activities.

 

We ask that members adhere to the following procedure for removing recordings from their possession:

  • Upon closure of an active investigation, the member who provided a recording will be asked, and must agree, to remove it from all of their devices. 

  • Upon receipt of the files which are not related to an active investigation, the member who provided a recording will be asked, and must agree, to remove it from all of their devices.

  • Until the member receives instructions to remove the recordings, the files should be maintained in a private manner and available in case of corruption or data loss within the admin team’s files.

  • The member agrees to avoid discussing the complaint with others so as to minimize drama and hostilities as well as to maintain a safe and enjoyable gaming environment for other members.

 

Quality: We ask that if a member chooses to record communications, game time, or other digital contacts, that the audio and video quality of the product provided be sufficient to easily understand all who are involved. There is no one correct recording platform. However, it is recommended that OBS is used for easier setup and troubleshooting of issues if need be. A video will be posted and linked in this document which describes how to set up OBS for recording.

 

Public Notification & Acceptance of Terms of Participation: Members of our community will be prompted, and must accept, the terms and conditions before using any of our clan communication platforms. Refusal to accept these will result in the retraction of their access to our community communications platform(s) even though it will severely hinder their ability to participate in team events.

 

Storage and Access: Any recordings and other information uncovered in an investigation, or submitted to the admin for review, will be securely stored on the clan server or another similar hosting location. This will only be accessible to members of the admin team.  Unless agreed upon by those involved, information utilized for coaching or mentoring is private and shall not be shared with anyone outside of the admin team.  Examples of when it will be shared include, but are not limited to, recognition of positive achievement by members, humorous RNG incidents, and other positive, community-building activities.

 

Individuals Needing Training: The administrative team may recommend that individuals they deem as needing coaching or guidance in order to ensure that they are following policies, representing the team well, and engaging in the creation and maintenance of a positive gaming environment, set up recording abilities and follow the policies as outlined above. Even if there is no incident reported, the administrative team may choose to review standard interactions between this clan member and others.  The purpose of this will be to provide feedback so that they may improve their relations, communication skills, and relationships so as to proactively avoid the occurrence of an incident.
